Job Purpose:
The Administrator – M&C will provide administrative and coordination support to the Marketing & Communications team, with a strong focus on RFQ/RFP submissions, document management, project data coordination, and marketing support activities. The role requires high attention to detail, strong organizational skills, and the ability to work in a fast-paced, deadline-driven engineering/consulting environment.
Responsibilities:
Administrative & Proposal Support
- Provide administrative support in the preparation and compilation of RFQ/RFP submissions, ensuring compliance with client requirements and internal standards.
- Ensure all supporting documents (company profiles, project sheets, CVs, certifications, references) are accurate, updated, and well-organized.
- Prepare and maintain standard templates for document formatting, data entry, and proposal submissions.
Marketing & Project Coordination
- Assist in updating project sheets, presentations, and marketing materials.
- Collect and organize project information, team CVs, and reference materials for marketing and business development use.
- Coordinate with internal teams to gather required inputs within deadlines.
Data Management & Quality Control
- Support in basic data entry, document filing, and database updates.
- Perform data checks and quality reviews to ensure consistency, accuracy, and completeness of information.
- Maintain organized digital and physical filing systems for marketing and proposal-related documents.
Requirements:
Education
- Bachelor’s degree in business administration, Marketing, Communications, or a related field.
Experience
- Minimum 3 years of relevant experience, preferably within an engineering, consultancy, or professional services firm.
- Previous exposure to RFQ/RFP processes is highly preferred.
Technical Skills
- Strong proficiency in MS Office (Excel, Word, PowerPoint).
- Knowledge of Adobe InDesign is a plus.
- Ability to work with templates, formatting guidelines, and structured documents.
