Job Description

The Document Controller plays a crucial role in managing and overseeing the documentation processes within an organization. This position is essential for ensuring that all documents are accurately recorded, stored, and accessible to relevant stakeholders. The Document Controller is responsible for maintaining the integrity of documents throughout their lifecycle, from creation to archiving. In a fast-paced environment like Mecca, where projects may range from construction to hospitality, the Document Controller ensures that all documentation complies with legal and regulatory standards while supporting project efficiency and communication.

Responsibilities:

  1. Manage and organize all project documentation, including contracts, reports, and correspondence.
  2. Ensure that all documents are accurately filed and easily retrievable for team members.
  3. Implement and maintain document control procedures to ensure compliance with company policies.
  4. Coordinate with project managers and teams to ensure timely submission and approval of documents.
  5. Conduct regular audits of documentation to ensure accuracy and completeness.
  6. Facilitate training for staff on document management systems and procedures.
  7. Assist in the preparation of project reports and presentations by providing necessary documentation.
  8. Monitor document revisions and ensure that the latest versions are distributed to relevant stakeholders.
  9. Support the archiving process for completed projects, ensuring that all documentation is preserved according to legal requirements.
  10. Act as a liaison between different departments to streamline document-related processes.
