we are seeking an experienced Document Controller to join our growing design studio team. The ideal candidate will have a strong background in document management within the architecture, engineering, or construction industries, preferably in high-rise residential and hospitality projects. You will play a pivotal role in managing, organizing, and securing all project documentation to ensure a smooth and efficient design workflow across all disciplines.
Key Responsibilities:
- Set up and maintain the document control system (electronic and paper-based) for all projects.
- Ensure all design documentation is received, logged, distributed, tracked, and stored according to company standards.
- Coordinate with multidisciplinary teams (Architectural, Structural, MEP, Interior Design) to ensure timely submission and version control of documents.
- Manage document numbering, revisions, and filing protocols to maintain accurate records and traceability.
- Monitor incoming and outgoing documentation, ensuring timely responses to submittals and approvals.
- Liaise with internal teams and external consultants, contractors, and vendors to facilitate document control procedures.
- Conduct periodic audits to verify document integrity and compliance with QA/QC standards.
- Support the BIM and technical team by integrating documentation processes with digital project platforms.
- Prepare reports, logs, and status summaries for management review.
Job Requirements
Qualifications & Skills:
- Bachelor’s degree or diploma in Business Administration, Information Management, or a related field.
- Minimum 5 years of experience as a Document Controller, preferably within an Architectural or engineering design consultancy.
- Strong knowledge of industry standards for document control (ISO, QA/QC, etc.).
- Proficient in document management software such as Aconex, EDMS, Procore, or similar platforms.
- Experience working with large-scale, high-rise residential and hospitality projects is highly preferred.
- Familiarity with design workflows and terminology (AutoCAD, Revit, BIM 360, etc.).
- Excellent organizational and time-management skills.
- Strong communication skills and attention to detail.
- Fluent in English is required.
