We are looking for a proactive, organized, and detail-oriented Academic Coordinator to join our Academic Affairs Team. In this role, you will play a key part in ensuring the smooth operation of academic processes , from managing teaching loads to supporting faculty, students, and administrative functions.

Key Responsibilities

• Coordinate academic schedules, course allocations, and examination timetables in collaboration with faculty and the IT department.
• Administer and track teaching loads, contracts, and assignments for academic staff and Teaching Assistants.
• Serve as a liaison between students, faculty, and administration — ensuring smooth communication and efficient issue resolution.
• Handle and follow up on student inquiries, complaints, and academic-related requests.
• Support academic committees and faculty meetings by preparing materials, taking minutes, and following up on action items.
• Organize and support faculty events and academic outreach activities in coordination with the Communications and External Relations Department.
• Assist in the preparation of academic reports, and purchasing lists (e.g., textbooks and learning materials).
• Manage academic attendance, leave records, and related administrative documentation.
• Contribute to process improvements to enhance the overall academic experience at GIU.

Qualifications & Requirements

• Bachelor’s degree from a recognized university (required).
• 1–2 years of experience in academic administration or a related field (preferred).
• Fluent English communication skills — both spoken and written (required); German is an asset.
• Strong organizational and administrative skills with excellent attention to detail.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent interpersonal and communication skills with a professional and approachable attitude.
• Ability to multitask, prioritize effectively, and work under pressure in a fast-paced academic setting.
• A proactive team player who takes initiative, solves problems creatively, and contributes to a positive work environment.
